Customize Columns, Filters, and Sorting in a List View

A list view is the customizable table behind your Companies, People, Deals, Agenda, and Activity Report tabs. Choose which columns appear, then sort, filter, and format them to fit how you work.

Find Your Way Around a List View

Two controls sit at the top left of every list: the view name, which you click to switch lists, and the N matches out of N counter, which tells you how many records your current filters return. On Deals you also get a toggle between the list and the Kanban board.

When you tick the checkbox on a row, the bulk actions bar appears pinned to the bottom of the screen and stays there as you scroll. See Bulk Update Fields for what you can do from it.

    Add or Remove Columns

    1. Click the Columns icon.
    2. Check the fields you want to display, or uncheck the ones you want to hide.

    Move a Column

Click anywhere in a column header, then drag it to the position you want.

    Sort a Column

Click the ↑↓ arrows in a column header. The arrow shows whether the list is sorted ascending () or descending ().

    Filter a Column

    1. Click the funnel icon in a column header.
    2. For a text field, enter your search term. Filters match from the start of the field by default, so "Corp" finds "Corporate Holdings" but not "Starbucks Corporation".
    3. For a dropdown or multi-select field, tick the options you want to keep.

Put a % in front of your term to search anywhere in the field instead. "%Corp" finds both "Starbucks Corporation" and "Corporate Holdings, Inc." — see Search a List View with Wildcard Filters.

    Color Code a Column

    1. Click the color palette icon in the column header.
    2. Choose a color, or enter a HEX code.

To color whole rows based on the data in them rather than a single column, see Highlight Rows with Custom Formatting.

    Freeze a Column

Click the Lock icon in a column header to keep that column visible while you scroll sideways.

    Resize Rows and Columns

Hover over the line between two rows or two columns and drag.

Column, filter, and sort changes only affect what you see right now. To keep the layout for next time, you have to save it — see Save, Find, and Set a Default List.
