Introduction to Tasks & Activities

Tasks, events, and activities are how you keep track of your work with every company, deal, and person. Tasks and events plan what's next. Activities record what already happened. Together they give you and your team the full story of every relationship.

    The Three Building Blocks

    Type

    Use it for

    Example

    Where it lives

    Task

A to-do you need to finish. A due date is optional.

    "Send the proposal by Friday"

    Agenda tab

    Event

Something scheduled, with a start and end time

    "Demo call, Tuesday 2–3 PM"

    Agenda tab and calendar

    Activity

A record of something that already happened

    "Called, left a voicemail"

    The record's Activity Feed

A quick way to remember it: tasks and events look forward, and activities look back.

When you create a task, event, or activity, link it to one or more companies, deals, or people. That link is what makes it show up on the record's profile, so anyone who opens the record can see what's planned and what's already been done. It also makes the work count in your reports.

    How It Fits Together

    Here's what a typical follow-up looks like:

    1. You call a lead and log an activity on their profile: "Called, left a voicemail."
    2. You create a task to call them again on Thursday.
    3. On Thursday, the task shows up on your Dashboard and in the Agenda tab.
    4. You make the call and mark the task complete.
    5. Pipeline CRM adds the completed task to the person's Activity Feed, so their history stays up to date.

Only completed tasks are added to the feed. Creating or editing a task that's still open doesn't add anything.

What Pipeline CRM Logs for You

You don't have to type every activity yourself. These are added to the Activity Feed automatically:

    Save Time as You Go

    Keep Sensitive Notes Private

On the Grow plan and higher, you can mark an activity as private. Only administrators and executives can see private activities. See Log and Manage Tasks, Events & Activities.

Private notes don't count toward a record's Latest Activity.

    Track Your Progress

    For Admins

Admins decide how tasks, events, and activities are organized for the whole account:

    Set up

    Where to learn how

Activity categories, like Call, Meeting, or Site Visit

    Manage Activity Categories

    Task and event types

    Create Task and Event Types

    Priorities

Set Up Task and Event Priorities

    Postpone and duration options

    Set Postpone and Duration Options

Use the same names across task, event, and activity categories, like "Follow-up Call." Your reports will be easier to read.
