Import Activities from a Spreadsheet

Upload activity data in bulk from a spreadsheet instead of logging each activity by hand.

There's no separate activity import. Activities come in alongside a People, Companies, or Deals import, so pick the import type that matches the records you want the activities on.

    Before you start

    • Have your activity data ready in a CSV or Excel file.
    • Decide whether the activities belong on new records or on records already in Pipeline CRM. Existing records need an ID column, covered below.
    • To give activities a category, the column header must match an activity category that already exists in your account. Only admins can add or edit activity categories.

    Prepare your file

    1. Add a column for each activity category you're importing.
    2. Name each column to match the category name exactly.
    3. Make sure each row represents one record.

If a column header doesn't match a category, the activity still imports, just without a category.

    Add activities to new records

Each row creates a new person, company, or deal with the activity attached.

    1. Start a People, Companies, or Deals import by following Import Your CSV or Excel File.
    2. At the mapping step, map your activity column to the Pipeline Activity field.

    Add activities to existing records

An ID column switches the import into update mode, so activities land on the records you already have. Without it, every row is treated as a new record, and you get duplicate people, companies, or deals (or duplicate-check errors) instead.

    1. Export the records you want to add activities to. The export includes a Person ID, Company ID, or Deal ID column — see Update Existing Records by Import.
    2. Delete every column except the ID column.
    3. Add your activity columns.
    4. Start an import for the same record type you exported.
    5. Map the ID column to ID (for updating records).
    6. Map each activity column to Pipeline Activity.

Every other mapped column that has a value overwrites that field on the existing record. Blank cells are skipped. Keeping only the ID column and your activity columns makes sure nothing else changes.

If ID (for updating records) isn't in the mapping dropdown, contact support to have it enabled for your account.

If a row fails to import

A row fails with "Person 12345 was not found to be updated" (or Company or Deal) when:

    • The ID is for a different record type. Use Person IDs for a People import, Company IDs for a Companies import, and Deal IDs for a Deals import.
    • You can't see the record. The person running the import must have access to every record in the file.

Imports match existing records by ID only. Matching by email or name is available only through the Pipeline CRM API.

The timestamp on every imported activity is the date and time you ran the import — not the date the activity originally happened.
