Set Up the Outlook Contact and Calendar Sync

    Keep your Outlook contacts, tasks, and calendar events in step with Pipeline CRM, and file emails to the right person from inside Outlook. The add-in works in both Outlook on the web and the Outlook desktop app.

    Before you start: An admin must give you access to the Outlook integration (Step 1).

    This sync covers contacts, tasks, and calendar events, and lets you file individual emails. To log all your Outlook email automatically, set up Email Sync as well.

    Step 1: Give users access (admin)

    1. Click Settings in the lower-left corner.
    2. Go to Other > App Store.
    3. Find Outlook and click Learn More.
    4. Select the User Access tab.
    5. Turn on access for each user who needs the sync.

    Step 2: Install the PipelineDeals add-in

    1. In Outlook, open Apps — it's in the left sidebar, or in the top-right corner of an open email.
    2. Click Add Apps.
    3. Search for PipelineDeals.
    4. Click Install.

    Step 3: Sign in to the add-in

    1. Open any email in Outlook.
    2. Click Apps in the top-right corner and select PipelineDeals.
    3. In the side panel that opens, sign in with your Pipeline CRM and Microsoft credentials.

    Step 4: Create a "Pipeline" category

    The sync only picks up Outlook items tagged with a category named Pipeline.

    1. In Outlook, create a new category.
    2. Name it Pipeline, with a capital "P".

    Timing

    About every 10 minutes. Each run checks changes from the last 20 minutes in both apps.

    First sync

    Copies items from the past 60 days from Pipeline CRM into Outlook.

    Contacts

    Both ways. Contacts from Pipeline CRM get the Pipeline category automatically. Outlook contacts sync to Pipeline CRM only if they have a valid email address and the Pipeline category.

    Tasks and events

    Both ways. New Outlook items need the Pipeline category to sync.

    Edits

    The most recent change wins.

    Deletions

    Not mirrored. A deleted item just stops syncing.

    Recurring items

    Sync from Pipeline CRM to Outlook only, not from Outlook to Pipeline CRM.

    File emails to Pipeline CRM

    Use the PipelineDeals add-in to save an email — sent or received — and its attachments to the matching person in Pipeline CRM.

    1. Open the email in Outlook.
    2. Open the PipelineDeals add-in.
    3. Choose what to save: the email, its attachments, or both.
