The Users page is where you look after everyone on your account once they've joined — reviewing who's active, deactivating people who leave, reassigning their data, and checking who has multi-factor authentication (MFA).
Before you start: Account Admin permissions required. Go to Settings > General > Users.
- To add someone new, see Add a User to Your Account.
- For what each role, access type and permission allows, see Understand User Roles and Permissions.
Org Chart
The Org chart tab shows your teams and who reports to whom. Click Expand all to see every team, or click a team name to change its settings or add users. See Create and Manage Teams.
Active Users
The Active users tab lists each user's name, team, role, email, synced email status, whether they're an Admin or Read-only, and when they last logged in.
- To update a user's details or permissions: Click their name.
- For more options: Click the three dots next to a user to edit them, re-send their invitation email, reassign their data, or mark them inactive.
Inactive Users
The Inactive users tab lists everyone who's been deactivated, with the date they were deactivated.
- An inactive user's records stay visible to the team until you reassign them.
- Reassigning moves their companies, people, deals and incomplete tasks and events to the new owner.
- Won and lost deals and completed activities stay with the inactive user, so your history stays accurate.
- To reassign data later: Click the three dots next to the user and select Reassign Data.
- To bring a user back: Click the three dots and select Reactivate User.
For the full walkthrough, see Remove a User and Free Up Their Seat.
Click Export User Data to download a CSV of all your users.
Users Security
The Users security tab shows who has MFA turned on, who still needs to set it up, and whether it's been requested. Click the three dots next to a user to prompt them to turn on MFA or to view a report of their logins.
To request or turn off MFA for several users at once:
- Check the box at the start of each user's row.
- (Optional) Click Select all N records in the bulk actions bar to include every user in the current view.
- In the bulk actions bar at the bottom of the screen, click Request MFA or Disable MFA.
Common Questions
Will a user know they've been marked inactive? No notification is sent. They lose access immediately and see the login screen if they try to sign in.
What's the best way to replace a user? Mark the current user inactive first, then invite the new user and reassign data as needed. That way the seat is reused instead of adding a new license.
