Create and Manage Teams

Teams group your users and decide which companies, people and deals each group can see and edit. Set up teams to match how your sales organization actually works.

Before you start: Account Admin permissions required. The number of teams you can create depends on your plan — see pipelinecrm.com/pricing.

    Create a Team

    1. In the lower-left corner, click Settings.
    2. On the General tab, click Users.
    3. Click + Create new team in the upper-right corner.
    4. Enter the team name.
    5. (Optional) Choose a Reports To team to place this team in your hierarchy.
    6. Set the team's Visibility (explained below).
    7. Click Create Team.
    8. Add existing users, or invite new ones.
    9. Click Save Changes.

    Add or Move a User

    1. In the Org chart, click the edit icon next to the team's name.
    2. Add or move the user:
    • To add a user to this team: Click + Add existing user.
    • To move a user to a different team: Click the pencil icon next to them and change their team.
    1. Save your changes.

Moving a user to another team doesn't change which records they own, but it can change which records they can see.

A team can have several Team Leaders, and can include read-only users. Executives can't belong to a team.

Choose What a Team Can See

    | Visibility | Team members can access records owned by… | |---|---| | Only their own | Themselves | | Team | Themselves and their team | | Team + Leaders | Themselves, their team, and their team's leaders | | Global | Anyone in the account |

    • Team Leaders always see records owned by their team, even when visibility is set to Only their own.
    • Tasks and events follow the same rules, with one exception: team members can't see or assign tasks and events to Executives.

    Build a Team Hierarchy

Use Reports To to nest teams. A parent team can access the records its child teams own, while each child team sees only its own.

For example, if the Atlantic and Pacific teams both report to National Sales:

    • National Sales can access records owned by Atlantic and Pacific.
    • Atlantic and Pacific each see only their own records.
