Add a User to Your Account

Invite someone to your Pipeline CRM account and choose what they can see and do from day one.

Before you start: Account Admin permissions required. Adding a user adds a paid seat — see How Adding a User Affects Billing below.

    Invite a New User

    1. In the lower-left corner, click Settings.
    2. On the General tab, click Users.
    3. Click + Add users.
    4. Enter the person's name and email address.
    5. Choose a Role.
    6. Choose a Team. Team Members and Team Leaders must belong to one; Executives and SuperShare users can't.
    7. Select Normal access or Read-only access.
    8. Check the permissions you want to grant.
    9. Click Send Invite.

The new user gets an email invitation to set up their login. To send it again, find them on the Active users tab, click the three dots, and choose Re-send invitation email.

For what each role, access type and permission allows, see Understand User Roles and Permissions.

You can also add someone straight to a team: click the team's name in the Org chart and add them from there.

How Adding a User Affects Billing

If you have an unused license, the new user takes it at no extra cost. If every license is in use, inviting a user adds a license automatically. You're charged right away, at a prorated rate for the rest of your current billing period — on monthly, annual and biennial subscriptions alike.

The cost per user depends on your plan and billing cycle — see pipelinecrm.com/pricing. You can also add licenses before you invite anyone — see Change Your Plan, Licenses, or Billing Cycle.

Replacing someone? Mark the old user inactive first, then invite the new one. Their seat is freed up for the new person, so you don't pay for an extra license. See Remove a User and Free Up Their Seat.

Fix "Email Address Is Already in Use"

Every email address can belong to only one Pipeline CRM user — as their main email or as one of their other email addresses, in any account. If you see this error:

    • If the person already has a Pipeline CRM login: Ask them to remove the address from My Profile > Email, including the Other Email Addresses section, or invite them with a different address.
    • If that login belongs to an account that's no longer active: Contact support and we'll free up the address.
