Share Deal Lists Externally with SuperShare

    SuperShare gives people outside your account — partners, suppliers, subcontractors — secure read-only access to the deal lists you choose. You control exactly which deals they see, and you can work together on them through comments.

    Before you start:

    • Available on the Develop plan and higher.
    • Adding the external user needs admin access to Account Settings.
    • The external user's email address must not be on your company's domain.
    • Decide which deals to share and save them as a list first — see Save, Find, and Set a Default List.

    Add an External SuperShare User

    1. Go to Account Settings and open the Users page.
    2. Click Add New User.
    3. For Role, select SuperShare (External User). This is read-only access.
    4. (Optional) Enable Can export reports if they should be able to download the lists you share.
    5. Click Send Invite.

    The external user gets an email inviting them to set up a free SuperShare account. For the rest of the user form, see User Management.

    A SuperShare user cannot have the same email domain as your organization. If the invite is rejected, that is usually why.

    Share a Deals List

    1. Open the Deals list you want to share.
    2. Adjust the columns and filters so the list shows only what this person should see.
    3. Click the link icon at the top of the list.
    4. Select the external users to share with. Selected users are highlighted in blue.
    5. (Admins) Star the list to pin it for them.

    They receive an email with a link to the shared list. You can share a list with specific external users, or globally with all of them.

    To stop sharing: click the link icon again, untick the person's name, and save. Access ends immediately.

    They cannot create or edit records anywhere, change filters, or add and remove columns.

    Mark a note Private to keep it and its comments out of view. Everything else on a shared deal's activity feed is visible to the external users that deal is shared with.

    Collaborate Through Comments

    1. Click the deal name, or the Activities icon, to open the activity feed.
    2. Add a comment.
    3. Tag someone with @name to notify them.

    External users can both read and add comments, so the feed works as a shared thread on the deal.

    Let an External User Export a List

    With Can export reports enabled on their user record, an external user can export the lists you have shared with them.

    The export is narrower than the list on screen — it leaves out the deal's people column and any custom fields they are restricted from seeing.

    Manage Shared Lists

    1. Go to Settings.
    2. Select Deals.
    3. Click Shared Lists.
    4. Click Manage to change who has access.
