Share List Views, Dashboards, and Reports

    Share views, dashboards, and reports with your team, control what each person can do, and hand off ownership when someone changes roles.

    Before you start:

    • You need to be the Owner of the view, or an Editor on a view someone shared with you.
    • Views are private by default. No one sees a view until you share it.

    What Sharing Does

    Sharing a view shares its layout — the columns, filters, sorting, and formatting. It does not grant access to records.

    Each person still sees only the records their own permissions allow, so the same shared view can show a different number of rows to different people. If a teammate says rows are missing, check their record permissions rather than the view.

    How to Share a View

    1. Open the List View, Dashboard, or Report you want to share.
    2. Click Share in the top right corner.
    3. Toggle Share on.
    4. Choose who to share with:
    • Globally — everyone in your account, including users added later.
    • Team — every member of the team you select.
    • Specific Users — only the people you pick.
    1. Set each person's access level. Recipients get Viewer access unless you upgrade them to Editor.
    2. Add a Custom Message to include in the sharing email (optional).
    3. Click Save.

    An Editor's saved changes apply to everyone the view is shared with. To experiment with filters without affecting your team, use Save as new list instead of Save changes.

    How to Change or Remove Someone's Access

    1. Open the view and click Share.
    2. Find the person or team in the list.
    3. Switch their access between Viewer and Editor, or remove them from the list.
    4. Toggle Share off to make the view private again.
    5. Click Save.

    If someone has access to a view through a linked Report or Dashboard, you can't remove their access from the linked item. Adjust permissions on the source List View instead.

    How to Transfer Ownership of a View

    1. Click Share.
    2. Select Transfer Ownership.
    3. Choose the new Owner from the dropdown.
    4. Confirm the transfer.

    Transferring ownership removes your own access to the view. If you still need it, ask the new owner to share it back with you as an Editor.

    Things to Note

    • Linked views: If a shared List View feeds a Dashboard or Report, its permissions carry over to those items.
    • Deactivated users: Ownership of a view can't be transferred out of a deactivated user's account from within Pipeline CRM. Contact support to have it reassigned.
