With Pipeline CRM’s integrated Email Inbox, you can manage all your email communications without leaving the platform. No more toggling between your email client and CRM or relying on BCC tricks to log conversations.

The Email Sync feature works seamlessly with Gmail and cloud-based Microsoft Exchange, ensuring actions taken in Pipeline reflect in your email client and vice versa.

Accessing Your Inbox

  1. Enable Email Sync: Grant Pipeline access to your email account.
  2. Inbox Population: Your existing emails will populate the Pipeline Email Inbox.
  3. Automatic Activity Logging: Emails from existing contacts will log 30 days of past conversations as Activities on their profile pages. Future emails will be logged automatically.
  4. Real-Time Notifications: Receive in-app notifications for new emails, allowing prompt responses.


Adding New Contacts

When you receive an email from someone not yet in your Pipeline CRM:
  • Add Directly: Use the Inbox or message reply screen to add them as a contact.
  • By adding them, previous email exchanges with the new contact will be logged as Activities on their profile page.



Composing Messages

You can compose new emails from:
  • Inbox: Click “Compose email” in the upper-right corner.
  • Profile Pages: Navigate to a contact’s profile and select “Compose.”
  • List Views: Use the list view to select multiple contacts and compose.
Steps to Compose from the Inbox:
  1. In the top right corner, click Compose Email
  2. Start typing the recipient’s name or email; Pipeline will auto-suggest matches.
  3. Format your message, add links, attachments, and a customized signature.
  • Automatic Logging: Emails sent to contacts will be added as Activities on their profile pages.
  • Add cc@pipelinecrm.com in the BCC field to add recipients as new contacts automatically.
⚠️ Please Note 
Emails are sent from the primary email address set in your My Profile.


Archiving & Ignoring Senders

Archiving Messages:
  • Two-Way Sync: Archiving a message in Pipeline also archives it in your email client, and vice versa.
  • Read Status: Marking messages as ‘read’ is synchronized between Pipeline and your email client.
  • Activity Retention: Archived or deleted messages remain as Activities on contact profiles.
Ignoring Senders:
Ideal for filtering out personal emails, office chatter, or non-sales-related communications.
  • Inbox Clean-Up: Ignore senders to archive all their emails in Pipeline and prevent future emails from appearing in your Pipeline Inbox.
  • No Impact on Email Client: Ignored emails will still appear in your regular email inbox, but not in Pipeline.


Deal Insights

When receiving emails from contacts associated with multiple deals:
  • Manual Association: Use the dropdown arrow within the email to select the appropriate deal for association.
  • Enhanced Context: This ensures emails are logged under the correct deal, providing better context and tracking.
