Pipeline CRM integrates with Google Workspace to synchronize Contacts and Calendar, ensuring changes remain consistent in both systems. Before you begin
- You must be a Google Workspace admin and a Pipeline CRM admin using the same email.
- This integration works only with Google Workspace (Work accounts) — not personal Gmail.
- Recurring calendar events are not supported.
Setting Up the Integration
Step 1: Install the Pipeline CRM Google Workspace App (Admin)
- Sign in to Google as your organization's Workspace admin.
- Open the Pipeline CRM Google Workspace App and click Install.
- Or, in Pipeline CRM, go to Settings > Other > App Store, find Google Apps Integration, and click Learn More.
- Approve all requested Google permissions.
Step 2: Enable Sync for Users (Admin)
- In Pipeline CRM, go to App Store > Google Apps Integration > Learn More.
- Review the list of Google Workspace users.
- Toggle on Google Sync for each user who needs access.
⚠️ Note: If the setup page redirects you to the Marketplace, your domain setup isn't complete. Finish setup at: https://google.pipelinedeals.com/google/setup?domain=COMPANY.com — replace COMPANY.com with your domain.
Step 3: Configure Your Sync (Users)
- Click your Profile icon > My Profile.
- Go to Integrations.
- Scroll to the ‘Google Sync’ section and click ‘Visit Google sync settings.’
- Choose which Google Calendar (and optionally, contacts) to sync.
How Contacts Sync
- A Google Contact Group named Pipeline is created automatically.
- Only contacts in the Pipeline group sync between Google and Pipeline CRM.
- You own contacts in your Pipeline group. If a contact is re-assigned in Pipeline, it moves to the new owner’s Pipeline group in Google but remains in your Google contacts outside the group.
How Calendar Sync Works
- Calendar changes in Google or Pipeline CRM sync both ways, including deletions.
- Recurring events are not supported.
Sync Frequency and Behavior
- Changes made in Pipeline CRM update Google for adds, edits, and deletes. Refresh Google Contacts/Calendar to see updates.
- Changes made in Google appear in Pipeline CRM:
- Calendar: near real-time.
- Contacts: every hour.
- First sync imports all existing contacts and calendar events into Pipeline CRM; later syncs only pull changes since the last sync.
Troubleshooting and Things to Note
- If you installed the Google Workspace app but Google Sync still redirects to the Marketplace, your domain setup isn’t complete. Finish setup at: https://google.pipelinedeals.com/google/setup?domain=COMPANY.com — Replace COMPANY.com with your domain.
- Company name differences create duplicates: Keep names consistent across Google and Pipeline (e.g., use either “Acme Corp” or “Acme Corporation” in both). Merging in Pipeline won’t change Google’s data; update names in Google first, then Pipeline.
- Deleting users: Removing a user in Pipeline CRM doesn’t delete their Google contacts; it only removes them from the Pipeline group.
FAQs
- Are recurring events supported? No.
- Can I disable sync?
- Admins: Profile icon > Account Settings > Integrations > Google Apps.
- Users: Profile icon > My Profile > Google Sync.
- Will syncing delete my contacts?
- No. The sync is bidirectional and user-controlled. Adds, updates, and deletions sync both ways. If a user is deleted in Pipeline, their contacts remain in Google but are removed from the Pipeline group.
- Can I sync a personal Gmail? No — only Google Workspace accounts.
