Sync Google Workspace Contacts and Calendars

    Keep your Google Workspace calendar and contacts in step with Pipeline CRM, so events and people you add in one system show up in the other.

    Before you start

    • You need a Google Workspace account. Personal Gmail accounts are not supported. If your team runs on Outlook instead, see Set Up the Outlook Contact and Calendar Sync.
    • The one-time install (Steps 1–2 below) must be done by someone who is both a Google Workspace admin and a Pipeline CRM admin, using the same email address.
    • Once that's done, every user sets up their own sync — no admin rights needed.

    This integration syncs calendar events and contacts only. To log Gmail messages against your records, set up Email Sync separately.

    Step 1: Install the Google Workspace app (admin)

    1. Sign in to Google as your organization's Workspace admin.
    2. Open the Pipeline CRM Google Workspace app and click Admin install.
    3. Click Continue.
    4. Review the data access Pipeline CRM is requesting.
    5. Under Install the app automatically for the following users, choose Everyone at your organization or Certain groups or organizational units.
    6. Tick I agree to the application's Terms of Service, then click Finish.
    7. Click Complete additional setup now, then click Done to return to Pipeline CRM.

    Google can take up to 24 hours to finish installing the app across your whole domain. If sync isn't working right away, give it a day before troubleshooting.

    You can also reach the listing from inside Pipeline CRM. Go to Settings > Other > App Store, find Google Apps, and click Learn More.

    Step 2: Turn on sync for your users (admin)

    1. In Pipeline CRM, go to Settings > Other > App Store.
    2. Find Google Apps and click Learn More.
    3. On the Google users in Pipeline page, find each user who needs sync.
    4. Tick the box in the Google sync enabled column for those users.
    5. Click < back to Settings when you're done.

    The table also shows whether each person is a Google admin and a Pipeline admin, so you can confirm the right accounts are matched up.

    Step 3: Set up your own sync (every user)

    Every user syncing with Google needs to do this, admins included.

    1. Click your Profile icon in the top right and select My Profile.
    2. Go to the Integrations tab.
    3. Scroll to Google Sync and click visit google sync settings.
    4. In Calendar sync, choose the Google calendar you want to sync. It's set to Do not sync until you change it.
    5. Tick Contacts sync if you want your contacts to sync too.
    6. Click Save changes.

    Changing your synced calendar later can duplicate your data. Pick the right calendar the first time where you can.

    Changes you make in Pipeline CRM push to Google for adds, edits, and deletes. Refresh Google Calendar or Contacts to see them.

    Your first sync imports all of your existing contacts and calendar events into Pipeline CRM. Every sync after that only pulls what changed.

    Contacts and the Pipeline group

    • A Google contact group named Pipeline is created for you automatically.
    • Only contacts in the Pipeline group sync. Everything else in your Google Contacts is left alone.
    • You own the contacts in your Pipeline group. If a contact is reassigned to someone else in Pipeline CRM, it moves into the new owner's Pipeline group in Google — but it stays in your Google Contacts outside the group.

    Turn off sync

    • For yourself: Click your Profile icon > My Profile > Integrations, then turn off Google Sync.
    • For another user (admin): Go to Settings > Other > App Store > Google Apps > Learn More and untick Google sync enabled for that user.

    Turning off sync doesn't delete anything in either system. It just stops new changes from crossing over.

    You're either signed in to the wrong Google account or you don't have permission to install apps. Click your profile picture in the top right to switch accounts, or ask your Google Workspace admin to install it for you.

    The Google Sync page redirects to the Google Marketplace

    Your domain setup isn't complete. Finish it at https://google.pipelinedeals.com/google/setup?domain=COMPANY.com, replacing COMPANY.com with your domain.

    Nothing syncs right after installing

    Google can take up to 24 hours to roll the app out across your domain. Wait a day, then check again.

    Duplicate events after changing your synced calendar

    Switching the calendar in Calendar sync can re-import events you already have. Pick one calendar and stay with it where possible.

    Duplicate companies appear after syncing

    Company names don't match between the two systems (for example, "Acme Corp" vs. "Acme Corporation"). Fix the name in Google first, then in Pipeline CRM. Merging in Pipeline CRM won't change Google's data.

    A deleted Pipeline user's contacts are still in Google

    That's expected. Removing a user from Pipeline CRM only takes their contacts out of the Pipeline group — it never deletes contacts from Google.

    FAQs

    Will syncing delete my contacts? No. The sync is two-way and you control it. Adds, updates, and deletions cross over while sync is on, but nothing is removed just by connecting.

    Can I sync a personal Gmail account? No. Google Workspace accounts only.

    Are recurring calendar events supported? No. Set recurring events up directly in whichever system you use for scheduling.

    Does this sync my email too? No. Calendar and contact sync is separate from Email Sync.
