Export Your Data for Backup or a Data Request

    Take a full copy of your Pipeline CRM data — for safekeeping, an internal audit, or a customer request for their own information.

    Before you start: Exporting is permission-controlled. If you don't see the export option, ask your admin to enable it under Settings > Users.

    Take a full backup

    There's no single "export everything" button, so a complete backup means exporting each record type in turn.

    1. Go to Companies. Click the Columns icon and enable every field you want in the backup — only visible columns are exported.
    2. Click the three dots (•••) and select Export as CSV.
    3. Repeat for People, Deals, and Agenda.
    4. For activity history, run the Activity Report and export from there — the Activities column in list views can't be exported.

    Tip: Clear your filters before exporting, and save a list view with all your fields enabled. Next time you back up, you can reuse the view instead of rebuilding it.

    Exports over 100 records

    Backups are almost always larger than 100 records, so your file won't download in the browser. Pipeline CRM emails you a download link when the file is ready — check your spam folder if it doesn't arrive.

    Answering a data request

    If a customer asks for a copy of the information you hold about them:

    1. Go to People and filter to that person.
    2. Enable the columns that hold their information.
    3. Export as PDF for a single readable document, or CSV if they want the raw data.
    4. Check their company and deal records for anything else that relates to them.

    What isn't included in a CSV export

    • The Activities column from list views — use the Activity Report instead.
    • Anything hidden in your list view at the time of export.
