Update system and custom fields across many records at once, instead of opening each record one by one.
Bulk updates cannot be undone. Once you confirm, there is no way to roll the change back — check your selection first.
Before you start:
- You can bulk update any field you already have permission to edit. Fields that are view-only for you won't appear in the list.
- Bulk actions are available wherever you can select records — every list view (Deals, Companies, People, Agenda, Recycle Bin, and more) as well as Kanban. Which options you get depends on the view you're in.
Update fields on multiple records
- Open the list view for the records you want to update.
- (Optional) Filter or search to narrow the list.
- Select your records. Click the checkbox on each row, or click Select all N records in the bulk actions bar at the bottom of the screen to include every record matching the current view. There's no limit on how many you can select.
- Click Bulk Update in the bulk actions bar.
- Choose a field and enter its new value. You can add more fields and update several in one pass.
- Confirm your changes.
Small batches apply right away. A large selection is queued and processed in the background, so give it a moment to finish before you refresh the list.
To clear your selection without making a change, click ✕ in the bulk actions bar.
Which fields you can bulk update
Custom fields and built-in fields follow different rules.
Custom fields
Every custom field type can be bulk updated except calculated, forecast, and read-only fields. Text, dropdown, multi-select, date, numeric, currency, boolean, and association fields are all eligible.
Built-in fields
Each record type has a fixed list.
Deals
- Name, Summary, Company Name, Deal Value, Currency, Probability, Expected Close Date, Bonus, Revenue Type, Source
- Status, Won Reason and notes, Loss Reason and notes
- Address 1, Address 2, City, State, Postal Code, Country
Deal Value is removed from the list when your account has deal amount auto-calculate turned on.
People
- First Name, Last Name, Position, Type, Summary, Company
- Email, Email 2, Home Email, Phone, Home Phone, Mobile, Fax, Instant Message, Website
- Facebook, LinkedIn, Twitter
- Lead Source, Lead Status, Bounced, Unsubscribed
- The full home address and work address blocks
Companies
- Name, Description, Email, Phone, Fax, Web, Instant Message
- Facebook, LinkedIn, Twitter
- Address 1, Address 2, City, State, Postal Code, Country
Project milestones
- Name, Status
Why a field isn't in the list
If you can't find Owner, Stage, Pipeline, or Tags, nothing is broken and it isn't a permissions problem. Those aren't handled through Bulk Update — each one has its own dedicated bulk action in the bar.
What else you can do in bulk
Bulk Update is one option in the bulk actions bar. Once you've selected records, look in the bar for the rest — which ones appear as buttons and which sit under More depends on the view you're in.
- Add a task to multiple records
- Tag companies, people, and deals
- Send a bulk email — under More
- Send a campaign — under More
- Reassign ownership — under More. For tasks and events, see reassigning agenda items in bulk.
- Delete the selected records, which sends them to the Recycle Bin
