    Automations work behind the scenes on the repetitive tasks — creating records, sending notifications, updating fields — so your team can focus on closing deals.

    Before you start: Only admins can create or configure automations.

    Create an Automation

    • Log in as an admin and click Settings in the lower-left corner.
    • Select Other, then click Automations.
    • Click + Add automation.

    Organize Automations with Folders

    Folders keep your automations easy to find — for example, separate folders for Company and People automations.

    • Click Manage Automations Folders to add, edit, or delete folders.
    • Select a folder when creating a new automation, or drag and drop existing automations into folders on the left.

    Note: Deleting a folder moves its automations to the default folder rather than deleting them.

    The Two Types of Automation

    Data-based — triggered when a record's data is created, updated, or deleted. Example: create a task whenever a new person record is added.

    Time-based — triggered by system or custom date fields, firing before, after, or on a specific date. Example: update a custom field one day after a deal's Actual Close Date.

    Actions: the "Do this"

    • Create a task for the record owner or another user.
    • Create a deal to get new leads into your pipeline.
    • Send a notification by email to specific users or addresses.
    • Apply a To-do Template — a series of events applied at once to a person or deal.
    • Update Customer Health to track the state of a customer relationship.
    • Assign owner to a company record when it's created or updated.
    • Update a custom field.
    • Move a deal between pipelines using the Update Deal option — move the deal with all its data, or copy it with or without activities.

    Frequently Asked Questions

    Can I trigger an email to a contact with automations? Not directly — automations send notifications to users. To email contacts, use Email Campaigns.

    Why aren't there custom field triggers for calendar items? Calendar items don't have custom fields associated with agenda items.
