Understanding Default Visibility Rules
By default, Pipeline CRM applies your account’s existing visibility rules to customer profiles. Converting a company to a customer does not change who can see the profile or its details.

Want to share visibility with other users? Add them as collaborators on milestones.
When you add a collaborator:
- They gain access to the customer profile in the Company tab list view.
- They can view all past activity on the record.
- Multiple collaborators can be added at once.
How to add a collaborator:
- Start by creating a new milestone.
- Fill in all required fields (look for the ‘*’).
- In the Collaborators field, select user names from the dropdown.
- (Optional) Check the Send due date reminder to notify collaborators when the milestone is due.
Removing Access: How to Take Away Visibility
There are two ways to remove a user’s visibility to a customer:
- Remove them as a collaborator on a milestone.
They’ll immediately lose access to the customer profile. - Convert the customer back to a company.
Collaborators who don’t have company-level visibility will lose access.
If you revert a customer to a company and then switch it again to a customer, previous collaborators won’t automatically regain access. You’ll need to reassign them.
