Understand Email Sending Limits

Learn how Pipeline CRM's email sending limits work to keep your account in good standing with email providers.

Sending Rate Limit
Pipeline CRM limits email sending to 20 emails per minute per user. This helps maintain optimal deliverability and prevents your email account from being flagged by providers.

What Happens When You Hit the Limit
  1. Sending pauses — The system temporarily stops sending additional emails.
  2. Emails queue automatically — Once the minute passes, the next batch of up to 20 emails begins sending.
  3. All queued emails will be sent — Your emails remain in the queue until they're successfully delivered. No emails are dropped.
If you're sending a large email campaign, the system handles queuing automatically—no action needed on your part.

Other Activities That Affect Rate Limits
Your email provider's rate limits apply to all email operations, not just sending. These activities also count toward your limit:

  • Filing email activities
  • Inbox synchronization
  • Responding to email changes
⚠️ Note: High activity levels (frequent syncing or filing) can temporarily reduce how many emails you can send, even if you haven't sent many messages.

Email Provider Limits
In addition to Pipeline CRM's throttling, your email provider has its own daily sending limits. Here are common limits by provider:

  • Gmail (personal): 500 emails per day
  • Google Workspace: 2,000 emails per day
  • Microsoft 365: 10,000 emails per day
⚠️ Note: Exceeding your provider's limits may result in temporary sending restrictions on your email account, regardless of Pipeline CRM's settings.

Troubleshooting
Why are my emails sending slowly?
You've likely hit the 20-email-per-minute throttle. Emails will continue sending automatically as capacity becomes available.

Why did my campaign stop sending?
Other email activities (syncing, filing) may be consuming your rate limit. Wait a few minutes or reduce other email operations.

Why am I getting errors from my email provider?
You may have exceeded your provider's daily sending limit. Check your provider's usage dashboard and wait until the limit resets (usually 24 hours).
