Advanced Visibility lets account admins control which teams can see and change a custom field. Use it to keep sensitive data — billing details, margins, internal notes — visible only to the teams that need it.
Before you start: You need Account Admin permissions. Advanced Visibility is available on the Grow plan; see the pricing page for what each plan includes.
Set Visibility on a Custom Field
- Click Settings in the lower-left corner.
- Select Data Entry, then click Custom Fields.
- Click the edit (pencil) icon next to the field you want to control.
- In the Visibility section, add the teams that should have access.
- Turn on the access each team should get: View, Edit, or Add.
What Each Toggle Grants
Each toggle grants a level of access. Leave it off and the team doesn't get that ability.

The team can change the field's contents
They can see the value but can't change it

The team can fill in the field when creating a new record
The field is read-only on the create form
Note: These toggles work together. A team needs View before Edit or Add make any practical difference — if they can't see the field, they can't fill it in.
A Worked Example
Say you have a Contract Value field that only Finance should change:
- Add the Sales team with View on, Edit off. They can see the number but not alter it.
- Add the Finance team with View, Edit, and Add all on. They have full control.
- Leave every other team off the list entirely. They never see the field.
