Keep working in the Pipeline CRM mobile app when you lose signal, then let your changes sync on their own once you're back online.
Before you start
- Install the latest version of the Pipeline CRM app on iOS or Android.
- Log in at least once while online. The app needs that first connection to download your data.
- To open the app offline, you must have logged in within the past 7 days.
Set up offline mode
Offline mode is on by default. As soon as you log in, the app downloads your data in the background. There are two things you can adjust.
Choose when offline data downloads
By default, the app only downloads offline data while you're on Wi-Fi. To also download over cellular data:
- Tap the menu icon in the top left.
- Tap Edit Profile.
- Scroll down and turn off Sync offline data on Wi-Fi only.
With this setting off, the app downloads offline data over 4G or 5G. Saved profiles can be large, especially in accounts with many custom fields, so check your mobile plan for data charges.
Pin the records you always need
Pinned records are always saved with full detail, including notes and activities.
- Open the deal, person, or company profile.
- Tap the three-dots menu at the top of the profile.
- Tap Make Available Offline.
You can pin up to 20 records of each type.
Before heading somewhere with poor signal, open the records you'll need. Opening a record also saves its full profile for offline use.
Work offline
When you lose connection, a yellow banner appears at the bottom of the screen. While it's showing, you can:
- Browse and search your saved deals, people, and companies.
- View your open tasks and events for today and tomorrow.
- Create new deals, people, companies, and tasks.
- Edit records, including deal stages and person statuses.
- Add notes and comments.
- Create and edit calendar entries.
Offline search only looks through the records saved on your phone. If a record doesn't show up, pin it or open it before you lose connection next time.
These areas need a connection and aren't available offline: Dashboards, Reports, Nearby, and saved maps. You also can't upload files until you're back online.
Your offline changes are saved only on your phone until they sync. Your teammates won't see them in Pipeline CRM until you reconnect.
Review your pending changes
The yellow banner shows how long it's been since your last sync and how many changes are waiting. Records with unsynced changes show an amber Pending badge.
- Tap the yellow banner.
- Review the Pending Changes screen. Each change shows the record name, the type of change (create, edit, or delete), and when you made it.
Discarding pending changes deletes them from your phone for good. They never reach Pipeline CRM and you can't get them back.
Sync when you reconnect
You don't need to do anything. When your connection comes back, the app sends your queued changes to Pipeline CRM and shows the result, such as "5 synced, 1 failed." The yellow banner and Pending badges then clear.
If a change fails to sync, it stays in Pending Changes with a flag. Open it to see what went wrong and try again.
What the app saves for offline use
Not every record has the same level of detail offline:
Level
Which records
What you see offline
List only
Records that showed up in a list but were never opened
The basics shown in the list row, such as name and stage
Rich profile
About 100 each of your deals, people, and companies, starting with your own records and the most recently updated
Contact info, deal details, custom fields, and tags. No notes or activity history
Everything
Pinned records, your 20 most recently viewed records of each type, and anything you opened during your current session
The full profile, including notes, activities, linked people and deals, files, and the record's agenda
A record never loses detail once it has it. For more on what each profile shows, see Mobile App: Profile Records.
