Send a document for digital signature straight from a person, deal, or company — no separate eSign tool needed — and track every request from the record.
Before you start:
- eSign is available on the Grow and Enterprise plans.
- eSign works with documents you create in Instant Docs.
- An admin must set up eSign first. See Set Up eSign (Admins) below.
Send a Document for Signature
- Open the person, deal, or company the document is for.
- On the Instant Docs tile, generate your document — for example, a proposal or contract.
- Click Request eSign.
- Check the signers. Pipeline CRM fills in the first signer (usually your internal signer) and the second signer (usually the person you're sending to).
- Choose who signs first: the internal or the external signer.
- Drag signature blocks, initials, and any other required fields onto the document.
- Assign each field to the right signer.
- Review the layout and signers.
- Click Send.
The first signer receives an email with a secure link, and the document's eSign status on the Instant Docs tile changes to In Progress.
What Your Signers See
- The signer opens the email and clicks the link.
- The document opens with page thumbnails on the left and signature prompts on the page.
- The signer clicks the signature area, clicks their full name to adopt a signature, then clicks Adopt and Sign. If they don't want to sign, they can click Decline to sign instead.
- Pipeline CRM sends the document to the next signer.
- When everyone has signed, all signers receive a signed copy by email.
Signing works on phones too. Turning the phone sideways makes it easier on small screens.
Track, Resend, or Cancel a Request
Find the document on the record's Instant Docs tile. Its eSign status shows where the request stands, and three buttons let you act on it:
- Status Details: See when the email was sent, when the document was viewed, and when each signer signed.
- Resend Email: Send a reminder to the signer whose turn it is.
- Cancel Request: Stop the request before everyone has signed. All signers get a cancellation email.
Pipeline CRM also logs an activity on the record when a request is created, signed, or canceled.
Report on eSign
Use the Activity Scoreboard to see how many documents each rep requested, got signed, or had declined or canceled over any time period.
Set Up eSign (Admins)
- Click Settings in the lower-left corner.
- On the General tab, select eSign.
- Set the defaults:
