Conditional dropdowns show only the options that make sense for a record. You set a rule — for example, "if Deal Amount is over 1,000" — and choose which options stay selectable when it's true. The rest are disabled.
Before you start: Account Admin permissions required. Rules apply to everyone in your account.
Set Up a Conditional Dropdown
- In the lower-left corner, click Settings.
- Click the Data Entry tab.
- Click Conditional Dropdowns.
- Click "+ Create new rule"
- Add your conditions
- Select the dropdown field you want to control.
- Add a rule: pick the trigger field and the condition that must be true.
- Choose which dropdown options are allowed when the rule is met.
- Save your changes.
To test it, open a record, change the trigger field, and check the dropdown.
Choose How Rules Combine
Two toggles decide what happens when more than one rule matches, and where disabled options go.

Show all matching dropdowns stacked
Every matching rule counts. Any option allowed by any of them is selectable. Rule order doesn't matter.
Only the last matching rule counts. Drag rules to put the one that should win at the bottom.
Move disabled options to bottom of list
Selectable options come first, disabled ones drop to the end. Useful for long lists.
Options keep their original order, with the disabled ones greyed out in place.
If a dropdown isn't behaving the way you expect, check these two toggles and your rule order first. That's almost always the cause.
Example
A Plan dropdown has options A, B, C, D and E. It has two rules, and a deal with an amount over 1,000 matches both:
- Rule 1: If Deal Amount > 1,000, allow A and B.
- Rule 2: If Deal Amount > 1,000, allow D.

Keep Rules Easy to Maintain
- Name rules after what they do, such as "High-value deals: allow A, B, D".
- Write each rule as "allow exactly these options" rather than trying to exclude a few.
- If several rules can match at once, decide up front whether you want combined results (stacked on) or one rule to win (stacked off).
