Manage Deals

    Add deals in Pipeline CRM and keep them organized — clone, share, reassign, merge, archive, and delete.

    Add a Deal

    There are a few ways to add a deal, depending on where you are in Pipeline CRM.

    • Deals list view: Click Add New.
    • Top navigation bar: Click the + icon in the top right corner and select Deal.
    • Company or Person profile: In the Deals tile, click the + button.
    • In bulk: From any list view, click Import to add multiple deals from an Excel or CSV file.

    What's on the Deal Form

    When you add a deal, you'll fill in a few key fields:

    • Company name: Every deal needs a company. Start typing to search existing ones — if there's no match, Pipeline CRM creates a new company for you.
    • Primary contact: Choose the main person on the deal.
    • Stage / Probability: Pick the current stage. Probability fills in automatically, but you can adjust it manually.
    • Owner: Assign the deal to yourself or another user. Owners, Executives, and Managers can reassign deals.

    Admins can customize the deal form — rearrange fields, make them required, or add custom fields — in Settings > Data Entry > Add/Edit Forms.

    Reassign Deals

    Transfer deal ownership from the deal profile or from the list view.

    Reassigning a deal also reassigns every person linked to it, along with the deal's open tasks, open events, and files.

    When reassigning in bulk, check your selection first — people attached to those deals change owner too, including people currently owned by other users. If a bulk reassignment moved more than you expected, contact support for help putting it back.

    • From the deal profile: Click the owner's name and select a new user. They'll get an email letting them know.
    • From the list view (one deal): Click the owner cell inline and pick a new user.
    • From the list view (bulk): Check the boxes next to the deals you want, then click More > Reassign in the bulk actions bar at the bottom of the screen and select the new owner.

    Depending on your user role and visibility settings, you may only see certain users in the dropdown. Check with your admin if someone's missing.

    What Moves With the Deal

    Changing a deal's owner reassigns everything attached to that deal:

    • Every person linked to the deal — not just the primary contact.
    • The deal's open tasks and events. Completed tasks and events stay with their current owner.
    • The deal's files.

    This happens anywhere a deal's owner changes — editing the deal, inline editing in a list view, bulk reassign, import, or the API. There's no setting to turn it off.

    Two things stop the cascade: a deal that never had an owner won't move anything when you assign one, and reassigning to a deactivated user skips the cascade silently.

    Reassignment only works in one direction. Changing a person's owner does not move their deals — it moves only that person's own files and their own open tasks and events. Deals pull people along; people never pull deals along.

    If a deal has 50 or fewer people, they move at the same moment as the deal. Above 50, the people move in the background and can land seconds or minutes later, so a reassignment may look incomplete for a short while.

    Executives and admins see every user's records in their list views, so Select all in that context reaches much further than it appears to.

    If a person is linked to two deals and those deals go to different owners, the most recent reassignment wins. Reassigning the deals back doesn't reliably return shared people to their original owners.

    Clone Deals

    Cloning is handy when you're working a similar opportunity and don't want to start from scratch.

    1. Open the deal you want to clone.
    2. Click Actions in the top right corner.
    3. Select Clone.
    4. Review the pre-filled form and make any changes.
    5. Click Save.

    Stage, Probability, and Summary don't carry over when cloning. The new deal is named Copy of \[Original Deal Name\].

    Share Deals

    Sharing lets a teammate view and edit a deal they wouldn't normally have access to. Shared deals appear in their Deals tab and in the search bar.

    1. Open the deal profile.
    2. Click Actions > Share.
    3. Select a user from the dropdown.

    To remove access, click Actions > Share, then select Stop sharing next to the user's name.

    You can only share deals one at a time from the deal profile — there's no bulk share option.

    Merge Deals

    Merging combines two duplicate deals into one, so all your activities, files, and people end up on a single record.

    Before you start: You need the Can merge records permission. If you don't see the Merge option, ask your admin.

    Merging is permanent and cannot be undone. Double-check both deals before you confirm.

    1. Open one of the duplicate deals.
    2. Click Actions > Merge.
    3. Review the comparison — the deal being removed is on the left, the deal you're keeping is on the right.
    4. Click Merge to confirm, or click Cancel to back out.

    Everything from the removed deal — activities, tasks, events, people, files, and company name — transfers to the deal you keep, leaving you with one complete record.

    Archive Deals

    Archiving removes a deal from your active pipeline, dashboards, and reports without deleting anything. It's perfect for deals that are done but that you might need to reference later.

    • From the list view: Check the boxes next to the deals you want, then click More > Archive in the bulk actions bar at the bottom of the screen.
    • From the deal profile: Click Actions > Archive.

    Find Archived Deals

    Add the Archived column to your Deals list view, then filter for "Yes" to see all archived deals. Archived deals are left out of report totals on the Deals and Reports tabs, so your active numbers stay clean.

    Save that filtered view as a list view so you don't have to re-apply the filter every time you need it.

    Delete Deals

    Deleting removes a deal from Pipeline CRM. Use it only for deals created by mistake or ones you're sure you no longer need.

    You can restore a deleted deal from the Recycle Bin for 30 days. After that, it can't be recovered — if you might need the deal later, archive it instead.

    • From the deal profile: Click Actions > Delete.
    • From the list view: Check the boxes next to the deals you want, then click Delete in the bulk actions bar at the bottom of the screen.

    Your ability to delete deals depends on the permissions your admin has set.
